Pointing a pharma distribution conference sponsorship at the buying groups of named accounts

The sponsorship bought a stand, a speaking slot and a hosted lunch, but no plan for which accounts they should reach. An account-based plan points each asset at the buying groups of named accounts.

  1. Challenge

Sponsorship assets drew passing traffic, not the quality and distribution leads of target accounts.

  2. Approach

Trigger-led account selection, buying-group pre-engagement, an asset plan by account and role-based follow-through.

  3. Result

Quality, procurement and logistics leads in each account get follow-up written for their role.

The situation

Vendors of GDP compliance software often sponsor pharma distribution conferences to reach the people accountable for temperature control in distribution. The stand fills with consultants, forwarders and competitors, while target accounts' quality and distribution leads attend the regulatory sessions and leave. When the next sponsorship package arrives, nobody can say which target accounts the last sponsorship moved.

The question that mattered

How can the sponsorship reach the whole buying group in each target manufacturer and distributor, and carry those conversations past the conference?

What we did

  1. 1

    Select the target accounts

Rank the target accounts likely to attend on triggers this vendor can act on: EudraGMDP non-compliance statements, new wholesale authorisations, new depots and new lane launches. Map the Responsible Person, distribution head and logistics buyer in each.

  2. 2

Engage buying groups before the conference

Run account-targeted digital content and personal outreach by role, tied to each trigger, with invitations to the vendor's excursion-handling session or a lane-risk briefing.

  3. 3

    Plan the conference by account

Give each priority account an owner, an intended conversation and a fallback contact, and aim the speaking slot, stand demos and hosted lunch at them.

  4. 4

    Follow through by role

After the conference, sort contacts by what happened and send role-specific follow-up: excursion-investigation evidence for quality, supplier-qualification detail for procurement, lane-risk analysis for logistics.

What we delivered

The evidence and working documents the team kept.

  • Priority account list with compliance, authorisation, depot and lane triggers
  • Buying-group maps across quality, distribution and procurement roles
  • Role-specific digital pre-engagement and invitations
  • On-site account plan: owners, stand slots, lunch seating and fallbacks
  • Post-event follow-up tracks by account status and role

The outcome

Sales and marketing

agree priority accounts and triggers before assigning any asset

Quality and distribution leads

from priority accounts attend the session and lunch on named invitations

Account owners

follow up each contact with material written for their role

The sponsor debrief

shows which roles engaged in each account and what happens next

Sponsorship reviews now ask which buying groups moved at each target account, and which role still needs a conversation.

What changed in the GTM motion

Before signing any sponsorship package, marketing and sales hold an account review naming the buying group each asset must reach. Role-based follow-up is written into the event plan, and the debrief reports engagement by account and role.
